Building the Foundation: Systems for Success

From day one, we were committed to being extremely systematic. But when we talk about systems, we're NOT referring to complex, high-tech gadgets. Instead, we mean organised, documented, repeatable, and person-independent methods that yield predictable results, regardless of external factors.

Our journey began by meticulously mapping out each and every process. We documented daily routines, considered all possible scenarios, and sought input from our team on how tasks were handled in the past.

The result? Standard Operating Procedures (SOPs) for every task, complete with resolutions for exceptions and potential pitfalls.

Each process was analyzed for time taken, dependencies, and uncontrollable external factors. What emerged were rock-solid, foolproof systems that consistently delivered reliable outcomes. The key here is that these systems are person-independent – anyone can use them to achieve the same predictable results.

Overcoming the Human Factor: Making Systems Work

One of the most significant challenges in implementing systems is human resistance to change. People are naturally hesitant when faced with something new.

The solution? Involve them with a sense of ownership.

We engaged our team in the mapping process, making them feel that their insights were valuable. We asked for their input on how they resolved specific issues and made them an integral part of the system-building process. This approach fostered a sense of importance and ownership among our team members. In fact this actually gave them a feeling that it was they who have developed the system :)

As we began the training and implementation phase, we explicitly acknowledged everyone's contributions. We highlighted even minor suggestions and how they had a significant impact on creating the systems. This instilled a sense of pride and ownership among our team, making the implementation process smoother.

Managing Resistance with Patience and Assurance

Despite our best efforts, some resistance is inevitable. There will always be individuals who find fault in anything new. Instead of ridiculing them, we patiently addressed their concerns. We assured them that the change wouldn't disrupt their routines but would make their work stress-free and shield them from unnecessary reprimands.

Furthermore, we emphasized that the system was not set in stone; it could evolve based on their feedback as we moved forward. This approach paved the way for transforming our management style from haphazard and chaotic to predictable, controllable, and stress-free.

The Road Ahead: Automation and Real-Life Case Studies

Implementing systems is just the beginning of our journey. In our next issue, we'll delve into a real-life case study – how we created a system for a seemingly mundane task like pressing shirts. This system led to an effective incentive structure, deskilled the job, and increased profitability and customer satisfaction 5X.
